Scheduled reminder messages are a type of Message Template which can be setup to automatically send to users in your account at a specified frequency.
To create a new scheduled reminder, go to Manage > Templates > Message Templates and click Add Message Template. Set the a name for the template, set the Message Type to 'Scheduled Reminder Message', and complete the settings to suit your requirements.
The settings available are:
Recipient Role - Specify what type of users should receive the reminder message. This can be set to Resources, Approvers, Contacts, Consultants, or Administrators - learn more about the different Roles in Invoxy here.
When set to 'Resources' an additional field will allow you to specify whether the reminder is sent to all Resources who were on active placements in the specified period, or only Resources with Timesheets Pending for the period. In either case, for weekly and monthly messages Invoxy will look back one week or one month from the day the message is sent, including that day. For example, a weekly message send on Sunday will look at the last week including the Sunday (i.e. Monday to Sunday).
When set to 'Approvers' you will be able to specify whether the reminder should be sent to all Approvers who were on active placements in the specified period, or only Approvers with Pending approval requests (unless their request has been approved by someone else).
Schedule Frequency - How often the reminder message should be sent. Options are once a day, week, or month.
When sending a reminder to any Role other than Administrators, Invoxy will ensure that the user is on the Team for an active placement in the last day, week or month based on the frequency selected.
For Weekly messages an additional field will allow you to select the day of the week to send the message, and for Monthly messages fields will allow you to select the day of the month to send the message, or to send the message on the last day of the month.
Schedule Time - The time of day the message will be sent. The timezone will be based on the Country selected in your Company Settings. For countries with multiple timezones, the most common timezone has been nominated, some of which include:
AU - AUS Eastern Standard Time
UK - GMT
USA - Eastern Standard Time
