We’ve had a few requests recently for an Invoice summary screen that gives you an overview to see the current billable and overdue amounts for each clients. It’s been popular on our feature request voting page and we are happy to show you our new Invoice summary page.
Our New Invoice Summary screen shows you:
- The exact amount of time that has been approved for each candidate
- You can run Invoice Batches based on your current billing period or overdue amount
- Easily catch times that haven’t been approved earlier in your billing cycle
Here on our Time Summary screen we have two contractors with the same client, one with all approved time and one without.
With this approved time let’s go and run an invoice batch. So here is our Client Summary screen under our Invoice Tab.
Here you can see the Overdue amount, amount in our current Billable, and then Total Billable - the same as before.
Now we have a Draft tab so this is where your draft and sent invoices will sit.
Below you can see a new summary tab for your Clients. This shows clients now within the current billable period for this date to this date.
Under this client billable period we can see Clever Fox and this is showing us the Last Billing date, amount of approved time, invoiced time, placement fees which would be related to any permanent placements with this client and then the net billable.
With this new screen you can see everything at a quick glance, that many of you may have been doing in our report centre or dashboard. Now if you click into the client it breaks down the approved and invoiced time into resources. So here we can see that Jack’s time has all been approved whereas Jane still has time outstanding that needs to be approved but you may want to invoice the approved time anyway to get that to the client or you could go and chase that approver from the Time > Approval requests screen.
With this information we can create a invoice batch straight from this information here by selecting our clients and then clicking New Invoice batch.
From here like normal you can enter a due date or have your Client Billing settings take care of that. You could change the invoice template if you like but if you are happy with all the information click Create Draft Batch.
So these are going to start generating as drafts, if you need to you can click the option to click Refresh Invoices.
And here we have our draft invoice for Clever Fox and it’s got a little blue dot over it that shows that it’s a newly created invoice - so you’ll always be able to see when you’ve got a bunch of draft invoices where the new one is located.
Now a red dot indicates that unapproved time has been left out of the invoice ie. with Jane’s 8 hours that is still pending approval from the manager.
So when you are happy with your draft batch select the invoices you would like to send to the client and to Xero, and there they’ve been sent to Xero and the Billing recipients as per usual.
If we go back to our summary screen we can just select Overdue to see what approved time is outstanding to be invoiced. From here just like our Current billable it’s super easy to run an invoice batch for overdue invoices.
