If a Resource is unable to record time in Invoxy there a number of possible causes.
They may not be able to access the Time tab at all, or their timesheet may have no time entry options, as shown here:
Or they might see the following error when trying to record time for a specific date:
The possible causes are outlined below - check through each step to find and correct the cause so that your candidate can begin recording time.
If you have Onboarding setup in Invoxy with 'Completion Required' checked on the template, then candidates must complete their onboarding before they'll be able to record time. The candidate will see the Get Started tab when they sign into Invoxy and will need to complete the steps set out for them and submit their onboarding. Until they do, the Time tab won't be available for them to select.
You can check whether the candidate has incomplete onboarding from their Onboarding tab under Manage > People. Remove the onboarding if it's not required, or let the candidate know they need to complete it before recording time.
To record time, the candidate will need to be added to a Placement Team in Invoxy. Navigate to the candidate under Manage > People and ensure that they're on a valid placement.
Outside of Placement Dates
When recording time in Invoxy, all time entries must fall within the Start and End Dates set on the placement. Click through to the placement and ensure the dates specified in the Placement Period cover the date the candidate is trying to record time for.
Ensure the candidate has also selected the correct placement - if they have similarly named placements, they may have chosen a different one by mistake.
Each placement can be set to be per hour or per day - if the placement has been incorrectly set to the wrong type of units, the candidate may run into some confusion with how to record their time. Ensure the units set on the placement are correct.
Incorrect Placement Type
There are several possible Placement Types in Invoxy, and candidates are only able to record their own hours if the Placement Type is set to Contractor - ensure the Placement Type is set correctly.
No Work Specified
Each placement also needs to have valid Work specified, for the candidate to record time against. Check the Work tab on the placement and ensure Work has been added.
Admin Only Work
If the placement has valid Work set, ensure that at least one of the Work options available is not set to Admin Only. If all Work for the candidate is set to Admin Only then administrators will be able to enter time on behalf of the candidate, but the candidate won't be able to record their own time.
If the resource has been setup more than once in Invoxy, then the placement may be assigned to one copy of the resource, while the other copy is logging in. You can check that there's only one copy of the resource under Manage > People. If duplicates exist, the records should be merged into one another as shown here: Merge your duplicate contacts
