Invoxy integrates with JobAdder, a global recruitment platform built for staffing agency and corporate recruiters that empowers recruiters all over the world to recruit smarter and simpler.
Add or edit clients, resources & placements in JobAdder and it will seamlessly update in Invoxy for timesheets & invoicing.
Connecting JobAdder
Connect your JobAdder account to Invoxy from the Manage > Integrations page. Select the JobAdder integration and click on the Connect button.
A login window will open to the JobAdder login page. Login to JobAdder to create the integration between JobAdder and Invoxy.
You'll also be prompted to provide Invoxy permissions to access and view your JobAdder data. Click Accept to allow Invoxy access.
Once successfully connected an Initial Load of all valid JobAdder placements will begin.
Syncing
Once your account is connected with JobAdder you can Sync to bring through any recent changes or new placements. There are two places in Invoxy you can run a sync from, either under Placements > Manage Placements - Consultants with Invoxy access will also be able to sync from this screen:
Or under Manage > Integrations > JobAdder:
You can click View Sync History in either location to view the JobAdder Sync History, which will show an overview of each sync record which can be expanded to view the details of which records have been added or updated.
If any errors show in the sync history you can view your notifications for more information (either on the Dashboard, or using a My Reports report of Notifications), or contact support for assistance if further info isn't available.
If you'd like to receive email notifications of errors please email support@invoxy.com letting us know which email address you'd like your errors emailed to.
What data comes through from JobAdder?
The integration between JobAdder and Invoxy is a one-way integration from JobAdder to Invoxy.
The rules for which records come through from JobAdder vary slightly depending on whether it's your first time connecting, or if you're syncing your integration after you've connected. The initial load when you first connect has some extra rules to ensure out of date placements don't come through.
On Initial Load:
Invoxy imports all Placements with a status of Approved, excluding:
- Placement Type of Permanent where the placement date is in the past
- Other Placement Types (not Permanent) that have a finish date in the past
All Candidates, Contacts, Clients and Consultants associated with an imported placement are also imported.
Following the initial load you can click Sync JobAdder in Invoxy to sync through any updates.
On Subsequent Updates:
All new Placements will be imported, and any updated placements will also be updated in Invoxy. If you use JobAdder's Approval setting, only Approved placements will be synced.
All Candidates, Contacts, Clients and Consultants associated with an imported placement are also imported.
Any records for Clients, Contacts, Candidate and Consultants will also be updated in Invoxy if they had previously been imported and were updated in JobAdder since the last sync.
When loading data into Invoxy the date of the last change on each record in Invoxy is compared to the change date on the record in JobAdder. If the record has been updated later in Invoxy than the record from JobAdder, the Invoxy record is not updated.
If the record in JobAdder has been updated later than the Invoxy record then all fields on the Invoxy record are updated from JobAdder. This can cause updates made in Invoxy to be overwritten with data from JobAdder - it's best to manage all changes in JobAdder.
You can find the full details of which fields in JobAdder map through to which fields in Invoxy here: JobAdder Field Mappings
Reconnecting/Disconnecting
If an error occurs while synchronising the data from JobAdder it may be that the authentication information with JobAdder has been lost. In this case you'll see errors in the JobAdder Sync History page. To re-authenticate with JobAdder click on the Reconnect button.
If you no longer want to integrate with JobAdder you can disconnect the integration by clicking on the Disconnect button.
Note - Disconnecting will prevent you from loading changes or additions from JobAdder. If you later decide to Connect back to JobAdder, Invoxy will run an initial load and any changes made in Invoxy may be overwritten.
