This article outlines the different roles and levels of access in the Invoxy system.
A resource is a candidate that is working on a Placement.
If that Placement is a Labour Hire type, Administrators will enter their time for them. If the Placement is a Contractor type eg. contract or temp you can invite them to the system to record their time and request approval. Below we can see Arthur has User Access to the system with the Blue person next to his name as well as the tick box for User Access.
Arthur can record his time, request approval for that time, change his user details, view any payslips or buyer created invoices and complete any on-boarding assigned to him.
If you wish, Arthur can approve his own time if it is being entered by an Administrator or Consultant - common in blue collar scenarios.
Contact: Client Approver and/or Billing Recipient
A contact is a team member on the Placement that can be an approver of time requested for that placement and/or a billing recipient of an invoice for that particular placement.
If the contact is an approver they will receive an email to approve a user time request. If the contact is a billing recipient they will receive an email with a PDF copy of the invoice.
If you invite a contact into Invoxy they can view the time for their candidates. You can learn more about the Contact view here.
A consultant is the person who owns the placement or made the placement for the candidate. If you invite them into Invoxy they can then see the placements they have created, and their commission payments. You can read more on the Consultant view here.
If you select approver they will become an approver for the placements that they are on.
If you select Manage Time they have the ability to enter time on behalf of candidates of placements that they are on, or you can set them to View All Resources if you wish to grant them view only access to the timesheets for all Resources in your Invoxy account.
An Invoxy Administrator has full access to the system to manage all parts of the timesheet, client approvals and invoicing process. Administrators aren't created via the People screen, and are instead invited directly via the User Access tab.
An Invoxy Owner (the person who created the account and receives invoices) has Administrator access and manages the account subscription.
There is no limit to the number of Administrator users created and invited use the system.
Administrators can approve any time request in the Time or Approval Requests tab.
