We've made it as intuitive as possible to make a placement in Invoxy - here's how to get started.
New placements can be added by clicking the button under Placements > Dashboard, or by selecting Add Placement under Placements > Manage Placements.
From there, you need to record the placement details, add the Team involved in the placement, and set the Work related to the placement (if applicable).
Once all of the placement settings are applied, click the green Save button and your placement will be complete.
To delete your placement, go to the bottom right corner of your placement and select Delete Placement.
Placement Details
The fields available on a placement are:
Client - Select the client the placement is for if they already exist in Invoxy, or click the button to add a new Client (more on creating a client here).
Placement Name - The placement name is usually the role title or the name of the contract. Whatever you use should be easily identifiable for the candidate, as it's what they'll see when they record time.
Billing Name - The billing name will default to be the same as the placement name, but if you want the client to see a different name for the placement on their invoices you can specify it here.
Reference - The reference field can be used to specify an internal company reference, or another type of reference you use for your placements.
Purchase Order Number - The purchase order number field can be used to record client PO Numbers.
Placement Type - Set a placement type of contractor, labour hire or permanent. Contractor type placements placements are for standard temp and contract placements, Labour Hire type placements are for placements where the candidate won't be recording their own time (i.e. a consultant or administrator will manage time on their behalf), and Permanent placements are for fixed one-off placement fees.
Billing Rate / Placement Fee - Enter the billing rate to be charged to the client, and specify whether it's per hour or per day. If it's a permanent placement you can specify the placement fee to be charged instead.
Units - Beside the Billing Rate you can change the units for the placement from hours to days, if required.
Placement Period / Date - Set the start and end date of the placement. Time will not be able to be recorded outside of the start and end dates. Alternatively, for permanent placements specify the placement date that the placement fee should be charged at.
Notes - Add any notes you may want to reference later.
Labels - You can add or create any labels you want to apply to the placement (more on labels here).
Team
Under the Team tab you can click the button to add the team who are involved with the placement, including:
- Any Resources who will be working on the placement, and the Resource Rate (the rate they should be paid)
- Consultants responsible for the placement, their Sales Group for the placement (All, Recruiter, or Account Manager) and their Owner Percentage
- Any contacts who will be approving time and/or receiving copies of the invoices
Work
Each placement needs at least one Work type for time to be recorded against.
If needed, click the button to add any additional Work types that may be used on the placement (more on work types here).
